This explains what we do with your personal information when you book a stay, get in touch, or use this website.
1Who we are
Logs & Lanterns is a trading name of Lumiere Lets LLP, a limited liability partnership registered in England and Wales under number OC458750, whose registered office is Roman Lodge Farm, Lansdown, Bath, England, BA1 9BJ.
We are the data controller for the information described here. If you have any question about this policy, or want to exercise any of the rights in section 7, email us at lumierelets@gmail.com.
2What we collect
- Booking details — your name, email address, postal address, telephone number, the dates and accommodation you have booked, the number and names of people in your party, and any requests or requirements you tell us about.
- Payment information — the amount, date and result of your payment. Card details are entered directly with our payment provider and never reach us; we do not see or store your card number.
- Correspondence — emails, messages and notes of calls between us.
- Health or accessibility information, but only where you choose to tell us something so that we can look after you properly. This is a special category of data and we use it only for that purpose, with your consent, and we delete it after your stay.
- Website use — our website does not set analytics or advertising cookies. Our hosting provider keeps standard server logs, including IP addresses, to keep the site running and secure.
3Why we use it, and our lawful basis
| What for | Lawful basis |
|---|---|
| Taking and managing your booking, and providing your stay | Performance of our contract with you |
| Taking payment and chasing unpaid balances | Performance of our contract, and our legitimate interest in being paid |
| Answering enquiries before you book | Our legitimate interest in responding to people who contact us |
| Keeping accounting and tax records | Our legal obligations |
| Health and safety, insurance and dealing with any incident, damage or complaint | Our legal obligations, and our legitimate interest in defending claims |
| Sending you occasional news or offers by email | Your consent, which you can withdraw at any time |
| Accessibility or health needs you have told us about | Your explicit consent |
Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and we think they are not. You can object at any time — see section 7.
4Who we share it with
We do not sell your information, and we do not share it for anyone else's marketing. We do share it with suppliers who help us run the business, each of whom may only use it on our instructions:
- our payment provider, to take and refund payments;
- our booking and email providers, to manage reservations and correspond with you;
- our accountant, and HM Revenue & Customs, for tax and accounting;
- our insurers and professional advisers, where there has been an incident or a claim;
- the police or other authorities, where we are required by law to do so.
Some of these providers are based outside the UK. Where information is transferred abroad, we rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum, so that your information keeps the same protection it has here.
5How long we keep it
- Booking and payment records — six full tax years after the end of the tax year they relate to, because HMRC requires it.
- Enquiries that did not become bookings — 12 months.
- Marketing consents — until you withdraw consent, and then a minimal record that you asked us to stop.
- Health or accessibility information — deleted within one month of your stay.
- Accident and incident records — three years, or longer if a claim is live.
6Keeping it safe
We keep your information on reputable, access-controlled services, limit who can see it to the people who need it to run the business, and use encrypted connections. No system is perfectly secure, but we take this seriously and we will tell you and the Information Commissioner's Office promptly if there is a breach that is likely to affect you.
7Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information where we no longer need it;
- ask us to restrict how we use it, or object to our using it where we rely on legitimate interests;
- receive certain information in a portable form, or have it sent to someone else;
- withdraw your consent at any time, where we rely on consent.
Email lumierelets@gmail.com and we will respond within one month. There is no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or on 0303 123 1113. We would appreciate the chance to put it right first.
8Cookies
This website does not set tracking, analytics or advertising cookies. If we add anything that does in future, we will ask for your consent first and update this policy.
9Changes
We may update this policy from time to time. The date at the top shows when it last changed.
